Delegation Quick Start Guide
Free up hours every week starting today!
Transform how you work by mastering the art of delegation and reclaim control of your time.
Hi, I'm Jason. I created this guide to help fellow entrepreneurs on the journey of building and beginning to scale their own business. I have been in the trenches along with you for years. Enjoying my wins and learning from my losses.
I have built several businesses online successfully, and I've had my share of complete failures. With each of those failures came lessons that I hope to share with you. Frankly, if what I create helps one person avoid or break through their own struggles it was worth it. Maybe that one person is you?
My hope with this guide is to leave you completely convinced that the only way forward is to start using systems, processes, and to start delegating more to tech or teams.
My view is that we were not made for doing the same repetitive work all day every day. We were made to create. My goal is to help you reclaim time and energy so you can spend more time creating in your own unique way.
Please know that your feedback is welcome! I am always looking to improve.
Enjoy!
Jason Bevel
Is this for you?
Who This Is For
Founders who feel like the business would collapse if they stepped away for a few days
Overworked entrepreneurs spending 60+ hours a week “in” the business instead of “on” it
Small business owners, coaches, consultants, and agency operators who need leverage
Neurodivergent founders who struggle with focus, structure, and delegation cycles
Anyone ready to reclaim 5–10 hours a week and install their first delegation system
Who This Is Not For
People looking for a “get rich quick” scheme — this is about building systems, not shortcuts
Employees who aren’t responsible for running a business or team
Founders who refuse to let go of control and believe “it’s faster if I do it myself”
Anyone expecting results without doing the work (this takes 30–60 minutes to set up)
Why Delegation Matters
If your business depends on you for every task, decision, and client deliverable, you're not really running a business… you're running yourself into the ground.
The endless cycle of handling everything personally creates a dangerous bottleneck that limits growth and breeds exhaustion.
Successful entrepreneurs understand that delegation isn't just helpful, it's essential for sustainable growth.
Without it, you'll find yourself trapped in operational quicksand, unable to focus on strategy and vision.
Delegation unlocks:
  • Reclaiming your precious time
  • Scaling without breaking
  • Reducing burnout dramatically
  • Focus on high-impact activities
  • Building a resilient team
The Hidden Cost of Not Delegating
70%
Time Wasted
Small business owners spend too much time on low-value tasks that could be delegated
60hrs
Weekly Hours
Average work week for entrepreneurs who don't delegate effectively
3x
Growth Rate
Businesses that delegate effectively grow three times faster than those that don't
I was one of these statistics for years. Thinking I had to do everything and not really being able to lean on my team. I was working myself to death. Something had to change.
The mathematics are clear: every hour you spend on tasks others could handle is an hour stolen from strategic thinking, business development, and personal well-being. The opportunity cost compounds daily, creating an invisible ceiling on your potential.
Step 1: Identify Low-Value Tasks
01
Document Everything
Write down everything you did in the last 3 days. Be brutally honest include checking emails, scheduling meetings, and administrative tasks.
02
Apply the 80% Test
For each task, ask: "Could someone else do this 80% as well as me?" Most tasks don't require perfection, they require completion.
03
Assess Business Impact
Did this task move the business forward, or just "keep it running"? Maintenance tasks are prime delegation candidates.
04
Circle Your Drains
Identify the 3 tasks that drain your energy the most. These are your first delegation targets. They're costing you more than just time.
Step 2: The 4 D's Framework
Similar to the Eisenhower Matrix, this framework helps you focus on the things that matter the most. If you take one thing from this guide, take this. Truly consider every task and project that comes up against this framework before you do anything and you will free up time and energy to focus immediately.
Delete
Remove tasks that don't matter. Question every recurring activity:
"What happens if we stop doing this?" Often, the answer is "nothing."
  • Unnecessary reports
  • Redundant meetings
  • Outdated processes
Defer
Push back what doesn't need to be done now. Not everything marked "urgent" truly is. Create space for strategic thinking.
  • Non-critical projects
  • Future planning tasks
  • Nice-to-have improvements
Delegate
Hand off tasks that someone else or systems can do. When you delegate you multiply your capacity.
  • Routine administrative work
  • Customer service tasks
  • Content creation
Do
Keep only what requires your highest expertise. These are the tasks only you can do effectively.
  • Strategic decisions
  • Key client relationships
  • Vision setting
Step 3: The Perfect Handoff Template
Clear communication is the foundation of successful delegation. Ambiguity breeds frustration and poor results. Use this proven template to ensure your delegated tasks are completed exactly as you envision.
1
Task
What needs to be done? Be specific and concrete.
Instead of "handle customer emails," write "respond to customer support emails within 4 hours using our standard templates."
2
Why
Why does this matter? Share the desired outcome and business impact.
Understanding purpose improves execution quality and decision-making.
3
Steps
Break down the process into clear, actionable steps. Number them sequentially.
Include any tools, resources, or access requirements.
4
Deadline
When is it due? Be specific about dates and times.
Include any intermediate check-in points for longer projects.
Common Delegation Mistakes to Avoid
"It's Faster If I Do It Myself"
This short-term thinking creates long-term bottlenecks.
Yes, training takes time initially, but it pays compound dividends. Invest the time once to save hours forever.
"No One Can Do It Like I Can"
Perfectionism is the enemy of delegation.
80% completion by someone else often delivers 100% of the value while freeing you for higher-impact work.
"I'll Just Check Everything Anyway"
Micromanaging defeats the purpose. Build trust through clear expectations and regular check-ins, not constant oversight. Trust, then verify. Resist the urge to make everything "perfect".
These mental barriers are normal but must be overcome.
Remember: every successful business leader had to learn to let go. Your business growth depends on your willingness to trust and empower others.
Building Your Delegation Muscle
Start Small, Think Big
Begin with low-risk tasks to build confidence, both yours and your team's.
As trust grows, gradually delegate more complex responsibilities.
  • Email management
  • Social media posting
  • Calendar scheduling
  • Data entry tasks
Create Feedback Loops
Establish regular check-ins and review processes.
This isn't micromanaging, it's quality assurance and continuous improvement.
  • Weekly progress updates
  • Monthly performance reviews
  • Immediate feedback on urgent items
  • Celebration of wins
